Agreement and Acceptance This End-User License Agreement (EULA) governs access to and use of the Integrated Faculty Evaluation Portal (IFEP), a mobile and web-based system designed to facilitate student-to-faculty and supervisor-to-faculty evaluations at Nueva Ecija University of Science and Technology (NEUST) – Gabaldon Campus. By accessing IFEP, signing in, or selecting “I Agree,” you acknowledge that you have read and understood these terms and agree to comply with the applicable university policies, authorized system procedures, and Philippine laws. If you do not agree to these terms, do not proceed with the use of IFEP. Where access is necessary for an official university process, contact the appropriate university office for assistance. 2. Authorized License and Purpose IFEP grants authorized users limited, non-exclusive, non-transferable permission to access and use the system for legitimate academic and administrative activities within their assigned roles. Authorized activities include: Conducting assigned faculty and supervisor evaluations. Validating student eligibility and official subject assignments. Managing evaluation schedules and participation. Processing and reviewing evaluation results. Generating authorized academic and administrative reports. Maintaining system accounts and security under approved administrative responsibilities. This permission does not transfer ownership of IFEP, its source code, database structure, design, documentation, or other intellectual property. Ownership and licensing rights remain subject to applicable law, institutional policies, and any agreements governing the project's development. 3. Role-Based Access and Responsibilities Users must access only the functions and records permitted by their assigned roles. Students Evaluate only faculty members and subjects assigned through the official evaluation process. Submit their own responses based on their actual academic experience. Keep their login credentials confidential. Refrain from attempting to access another student's account or evaluation records. Faculty Members Use IFEP for authorized faculty-related functions. Refrain from manipulating evaluations or pressuring students to provide particular ratings. Respect the confidentiality of student responses and restricted evaluation information. Supervisors Complete evaluations according to their assigned responsibilities and approved criteria. Protect confidential evaluation information. Avoid unauthorized access to records outside their assigned scope. Registrar and Authorized Academic Personnel Validate or maintain official academic records and assignments within their authorized responsibilities. Report incorrect enrollment, subject, section, or faculty-assignment records through approved procedures. Campus HR and Other Authorized Administrative Personnel Manage evaluation schedules, participation monitoring, and authorized reporting as permitted by their roles. Protect personnel and evaluation records against unauthorized access or disclosure. System Administrators Manage accounts, permissions, technical operations, and security functions within their authorized scope. Refrain from accessing or disclosing personal or evaluation information for unauthorized purposes. 4. Evaluation Integrity All users must preserve the accuracy and integrity of the evaluation process. Users must not: Submit fabricated evaluations or impersonate another evaluator. Manipulate evaluation ratings, participation figures, or computed results. Submit duplicate evaluations or bypass submission restrictions. Alter official academic assignments or evaluation records without authorization. Interfere with evaluation schedules or attempt to bypass system controls. Use evaluations to threaten, harass, retaliate against, or unfairly discriminate against another person. Evaluation results must be interpreted according to the approved IFEP evaluation methodology. Participation rates and faculty ratings must be distinguished and calculated according to the system's approved rules. 5. Confidentiality and Information Security Users must protect information accessed through IFEP, including account details, enrollment records, evaluation responses, faculty ratings, supervisor assessments, and administrative reports. Users must not disclose, copy, download, distribute, or publish restricted information without authorization. Student evaluations are intended to protect individual response confidentiality. Access to identifying information, submission records, and evaluation results must follow the system's actual technical safeguards, authorized permissions, and institutional policies. No user may attempt to identify an anonymous student evaluator through unauthorized system access or manipulation. Users must promptly report suspected account compromise, unauthorized access, data disclosure, or other security incidents to the designated IFEP administrator or appropriate university office. 6. Personal Data Protection IFEP shall process personal data in accordance with applicable Philippine data protection laws, including Republic Act No. 10173, or the Data Privacy Act of 2012, its Implementing Rules and Regulations, and applicable National Privacy Commission issuances. Depending on the user's role and system activities, IFEP may process: Account and identity information. Institutional email addresses and user roles. Student enrollment and subject-assignment records. Faculty, department, campus, and supervisor assignments. Evaluation responses, ratings, and participation status. Evaluation schedules, reports, and authorized activity logs. Such information shall be processed only for declared, legitimate purposes and subject to applicable lawful bases, access restrictions, security measures, and retention requirements. The collection of personal data and the applicable privacy rights of users are explained in the separate IFEP Data Privacy Notice. 7. Intellectual Property and Restrictions Users may not, without appropriate authorization: Copy, redistribute, sell, or commercially exploit IFEP or its protected components. Reverse-engineer or attempt to bypass technical protections, except where expressly permitted by law. Modify or redistribute system code in violation of applicable licenses or ownership rights. Use IFEP to distribute malicious software or interfere with its operation. Remove applicable copyright notices or misrepresent ownership of the system. Nothing in this section overrides rights granted by applicable law, open-source licenses, or agreements approved by the relevant rights holder. 8. System Availability and Maintenance IFEP may occasionally become unavailable due to maintenance, technical issues, security updates, or other operational requirements. Users should report technical errors, incorrect assignments, inaccessible forms, or suspected result discrepancies through the designated support channel. System administrators may perform authorized maintenance and security updates. Such activities must be conducted consistently with applicable institutional requirements and data protection obligations. 9. Suspension and Termination of Access Access may be restricted, suspended, or terminated when an account is no longer authorized, a user changes roles, a security risk is identified, or a violation of these terms is established. Where appropriate, the matter shall be referred to the authorized university office for review under applicable institutional procedures. Any disciplinary action must comply with relevant university rules and applicable due-process requirements. Restrictions on system access do not automatically authorize the deletion or disclosure of official academic records. 10. Limitation and Responsibility Users are responsible for the proper use of their accounts and for following authorized system procedures. Suspected errors in evaluation computations, academic assignments, or reports must be reported for review rather than corrected through unauthorized database modifications. Nothing in this agreement excludes rights or obligations that cannot lawfully be excluded or limits responsibilities imposed by applicable law. 11. Amendments These terms may be updated following authorized institutional review to reflect changes in IFEP functionality, university policies, security requirements, or applicable laws. Users shall be informed of material changes through an appropriate notice. Where required, renewed acknowledgment or consent shall be obtained. 12. User Acknowledgment By selecting “I Agree,” I acknowledge that: I have read and understood the IFEP End-User License Agreement and Terms of Use. I will use IFEP only for authorized academic and administrative purposes. I will protect my account credentials and maintain the confidentiality of restricted information. I will not manipulate evaluation records, misuse personal data, or attempt unauthorized access. I understand that violations may result in appropriate access restrictions or administrative action under applicable procedures. I understand that the separate Data Privacy Notice explains how my personal data is processed and how I may exercise my applicable privacy rights.
